At Ball State University, the Office of Housing and Residence Life assigns students to their rooms within the residence halls. Assignments are determined through a careful process designed to create a positive and supportive living environment for all residents, contributing to an enriching on-campus experience.
At Ball State, we strive to assign students to a room within the building that houses their Living-Learning Community (LLC), which corresponds to their declared major. This arrangement fosters collaboration and connections among students with similar academic goals, helping to build a strong support system within their field of study.
Assignment within your LLC’s building is not always guaranteed; however, having a roommate in the same LLC and submitting your application closer to the opening date of the housing application increases your chances of being assigned to the building with your LLC.
While our goal is for students to live in the building designated for their LLC, room assignments are influenced by several factors, including (but not limited to):
- Having special housing accommodation needs.
- Participant of a Signature Experience.
- Having a verified roommate and the LLC that they belong to.
- Number of students enrolled in the field of study.
- Capacity of the building at the time of placement.
- The date the housing deposit was paid/housing contract was completed.

Room Assignment Information
Near the end of July, our office communicates room assignments via email to each student’s Ball State email address. It's important that students begin to regularly utilize and check this account. The assignment email will provide vital information, including the assigned residence hall and roommate details. Room numbers will be shared on move-in day to facilitate a seamless arrival process.

The Office of Disability Services and the Office of Housing and Residence Life collaborate closely to assist students with special housing accommodations and needs. If you require special housing accommodations, please follow these steps:
- Submit Your Request: First, reach out to the Office of Disability Services to begin the conversation regarding your needs and accommodation request. This will more than likely require medical documentation.
- Communication of Needs: The Office of Disability Services will then communicate with the Office of Housing and Residence Life regarding a student's individual needs and accommodation requirements, as approved by their office.
- Room Assignment: Our office will review the documented accommodations provided by Disability Services, assess the available space in the residence halls, and assign rooms that best meet the student'a required needs in terms of type and location.
Important Deadline: To ensure priority review, all requests for housing accommodations for the 2025-2026 Academic Year must be submitted to the Office of Disability Services by May 31, 2025. Requests submitted after this date will not be prioritized and may not receive timely approval or response.

Students should utilize the
roommate search options on the housing portal to help identify potential students also looking for roommates. Please visit our

Students can also change their previously selected roommate by going back to the initial roommate request page on the online housing portal and “cancel” the pairing. Students who are planning to do this need to be aware that the other person will receive an email that the cancellation has been made.

Each residence hall has a limited number of rooms and bedspaces, and various factors can influence the availability of space, including the number of returning students, those with roommates, and the timing of housing deposit payments. Additionally, the number of students enrolled in specific majors fluctuates each year, affecting how spaces are assigned.
As a result, it’s possible that you may not be placed in the building that houses your Living-Learning Community (LLC). However, even if you are in a different residence hall, you are still a valued member of your LLC! You are encouraged to participate in LLC events and opportunities, and we welcome you to get involved with your community.
Our goal is to ensure that all students can connect with peers in their field of study, regardless of their assigned residence hall.
Each residence hall has a limited number of bedspaces. When students are placed, the availability of space in each building will determine where they will be assigned. If certain residence halls typically do not have assigned Living-Learning Communities (LLCs), they may still be designated as additional housing options for specific LLCs. This ensures that students can live among peers in the same field of study.
If you do not have a roommate at the time of placement the Office of Housing and Residence Life will pair you with another incoming student who is also in need of a roommate. We take care in matching students based on available information such as lifestyle preferences submitted in your housing application. You may be placed with a student in the same Living-Learning Community (LLC) or building based on your academic college or other preferences.
Once your roommate is assigned, we encourage you to reach out to introduce yourself and start coordinating plans for move-in day. Open communication early on helps set the tone for a positive living experience.
It's important to keep in mind that every incoming first-year student will have a roommate unless they have been approved for a special housing accommodation by the Office of Disability Services. There are several ways to find a roommate and we highly encourage students to find and verify their own roommate.
